Job Description

To synchronize port agency activities with company quality standards. This role is responsible for the administrative accuracy of vessel calls, ensuring that every operation (from bunkering to crew changes) follows the established Standard Operating Procedures (SOPs), meets KPI targets, and complies with ISO/maritime regulations.

Key Responsibilities
• Operational Compliance: Monitor active port calls to ensure all “Ship Agency” processes and standards are followed in real-time.
• KPI & Performance Management: Track vessel turnaround times and service delivery speeds; analyze data to ensure the team is meeting the “Fast Response” promise to clients.
• ISO & Audit Readiness: Maintain the Quality Management System (QMS) specifically for the operations department; ensure all vessel files, Statement of Facts (SoF), and Proforma DAs are complete and audit-ready.
• Vendor & Supply Chain Compliance: Evaluate and monitor third-party contractors (bunker suppliers, launch services, medical clinics) to ensure they meet the company’s safety and quality requirements.
• Workflow Implementation: Assist in “rolling out” new digital tools or monitoring procedures across regional offices.
• Risk Assessment: Identify operational bottlenecks or safety risks during heavy traffic periods and suggest corrective procedures to the Compliance Executive.
• Technical Documentation: Assist in drafting and updating Standard Operating Procedures (SOPs) for services like bunkering, crew changes, and emergency medical evacuations.
• Internal Audits: Conduct regular administrative spot checks and internal audits to identify gaps in compliance and suggest corrective actions.

Candidate Requirements
• Education: Maritime Studies, Logistics, or Quality Management.
• Experience: 2–4 years in shipping operations or port agency. Candidates with experience in ISO 9001:2015 and 14001:2025 will be prioritized.

Technical Skills:
• Advanced proficiency in maritime operating systems and MS Office (Excel/Reporting).
• Strong understanding of Port Authority regulations and Customs/Immigration compliance.
• Ability to draft technical manuals and operational “Checklists.”
• Soft Skills: Highly analytical, methodical, and able to “police” procedures without disrupting the speed of operations.
