Job Description

The Administrative Officer provides high-level support to the CFAO Equipment division by managing commercial documentation and logistics. This role ensures operational efficiency through accurate order processing, stock monitoring and assisting management with daily reporting and invoicing.

Tasks:

• Greet visitors and handle inquiries professionally, answer and route phone calls to the appropriate department.
• Coordinate the internal and external information.
• Schedule appointments and maintain the master calendar for dealership events.
• Prepare quotation for tyres/Motul & Batteries/Winparts in the absence of the Manager.
• Prepare Local Purchase for tyres.
• Submit EDI orders for tyres, Motul & Batteries/Winpart.
• Perform Warehouse management.
• Perform Inter-transfer of tyres, Motul and batteries.
• Manage batteries at consignees using the Annata system
• Change Bin locations when and as required.
• To submit daily Sales reports for tyres, Motul & Batteries/Winpart.
• Coordinate with the workshop to ensure tyres are ready for invoicing.
• Track all parts orders from submission until they arrive in stock.
• Assist with invoicing duties whenever managers are out of the office.

Skills Required:

• Ability to prioritize tasks and manage multiple tasks simultaneously.
• Clear, professional verbal and written skills for interacting with high-profile stakeholders.
• Proven ability to handle sensitive and confidential information with integrity.
• Skilled in operating MS Office Suite (Word, Excel, PowerPoint) and office equipment management.
• Knowledge of Annata system is an advantage.
