Job Description
1. Payroll Preparation & Processing
Process monthly payroll for staff across multiple retail outlets.
Verify attendance, shift schedules, overtime hours, and Sunday/Public Holiday work.
Prepare salary calculations including basic pay, overtime, commission, incentives, and allowances (e.g., meal allowance, transport allowance).
Process new hires, terminations, salary revisions, and transfers between branches.
2. Statutory Compliance (Mauritius)
Ensure payroll complies with Mauritian labour laws and the Workers’ Rights Act.
Calculate and process statutory deductions such as:
PAYE (Tax Deduction at Source)
NPF/NSF
LEL (Levy)
Portable Retirement Gratuity Fund (PRGF)
Prepare and submit statutory returns on required platforms (MRA, NPF, etc.).
Issue annual statements such as Employee Declaration Forms (EDF).
3. Attendance & Leave Management
Monitor and reconcile attendance records from biometric or POS-linked systems.
Check leave balances (annual, sick, maternity/paternity, special leaves).
Ensure correct leave deductions based on company policy and legislation.
4. Payroll Records & Reporting
Maintain accurate and confidential employee payroll files.
Prepare monthly payroll summaries, variance reports, and overtime reports for management.
Assist Finance with payroll journal entries and reconciliations.
5. Employee Queries & Support
Respond to employee questions on payslips, deductions, leave, or overtime.
Ensure timely distribution of payslips via email or physical copy.
Provide salary certificates, employment confirmations, or loan letters when requested.
6. Coordination with HR, Finance & Operations
Work closely with HR for recruitment updates, contract renewals, and disciplinary cases affecting pay.
Coordinate with branch managers for attendance corrections and overtime approvals.
Assist Finance during audits and budgeting exercises (labour cost projections).
7. Additional Responsibilities
Process end-of-year bonus (13th month), performance incentives, and commission schemes.
Prepare final settlement calculations for departing employees (leave encashment, notice pay, etc.).
Support system upgrades, payroll digitisation, and internal process improvements.
