Polytra Africa SSC, part of the Swiss Fracht Group is an international company with over 160 offices worldwide, is a leading Logistics company dedicated to delivering exceptional service and efficiency to our customers. We are seeking a motivated Logistics Officer to join our back-office team, supporting road logistics operations across Europe and procurement activities.

Responsibilities:
Road Logistics Operations:
• Create orders in the operational system for road freight shipments, ensuring timely and accurate update of all information required
• Assist with the creation of transport documentation including CMR (Convention relative au contrat de transport international de Marchandises par Route) documents, delivery notes, and customs documentation
• Follow up on timely submission of CMR documents by transporters to ensure complete shipment records
• Assist and complete the invoicing process towards customers and suppliers, ensuring accuracy and compliance with billing requirements
• Highlight any inconsistencies or discrepancies identified in documentation, pricing, or operational processes
• Monitor and update shipment status information in the system
Procurement Administrative Support:
• Assist with updating tender documentation for all modes of transport (road, air, sea)
• Liaise with respective departments to gather and coordinate tender-related information
• Ensure timely and accurate update of tender documents and rate sheets in the system
• Maintain organized procurement documentation and support the tender preparation process
• Communicate with vendors and internal teams regarding tender submissions and updates
General Back Office Duties:
• Maintain organized records and documentation for shipments, bookings, invoices, and procurement files
• Collaborate with the Belgium team to ensure efficient and timely completion of tasks
• Provide administrative support to the logistics and procurement teams as needed
• Assist with any other tasks as assigned by the team lead

Requirements:
• Degree or equivalent experience in Logistics, Supply Chain Management, Business Administration, or a related field
• 1-2 years of experience in logistics, freight forwarding, or transport operations; experience with road freight is advantageous
• Basic understanding of European road transport regulations and documentation (CMR, customs procedures for EU/non-EU movements) is advantageous
• Knowledge of ERPs systems, with the ability to input and retrieve data accurately
• Familiarity with procurement processes and vendor management is a plus
• Strong attention to detail and accuracy in data entry and document preparation
• Excellent organizational and multitasking skills, with the ability to manage multiple tasks and deadlines effectively
• Excellent communication and interpersonal skills, with the ability to work collaboratively in a team environment
• Proactive attitude with a willingness to learn and take on new challenges
• Fluency in English & French
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
